Initiating and Establishing a Henry Partners Relationship in HCS
Understanding the Henry Partners Interest Review and Renewal Process
Step 1. Interest
Business, Civic or Faith-Based Organizations/Individuals seeking to establish a new Henry Partners relationship contacts school or district office and are directed to complete the electronic Henry Partners Interest Form. Existing partners should reach out to the School-Based Henry Partners Leadership Team per annual review step identified below.
Step 2. Initial Review
District-based Henry Partners Leadership Team and School-based Henry Partners Leadership Teams will meet regularly to review submissions and assign team members to follow up with organizations and/or individuals based on interest. District-based Henry Partners Leadership Team will meet once a month, with the option to schedule additional meetings if interest exceeds 10 potential partners in a given month.
Step 3. Partnership Development
The assigned district or school Leadership Team member will work with interested organizations or individuals to develop a proposal (MOU draft) for review by the appropriate Assistant Superintendent, Department Representative, or Principal and School-Based Henry Partners Leadership Team. If an interested organization or individual is not interested in formal partnership and would like to be a friend of the school instead, they will be connected with a School-Based Henry Partners Leadership Team. Henry Partner Leadership team members also determine if the proposed partnership will be Level 2 or higher. If so, potential partners are required to do a background check during this step.
Step 4. Partnership Approval Review
For formal partnerships with an MOU draft, the appropriate Assistant Superintendent, Department Representative, or Principal and School-Based Henry Partners Leadership Team will review the MOU draft for approval, denial or invitation to resubmit with recommended modification.
Step 5. Partnership Approval Review
Partnership Approval Decision. If approved, the MOU will go to Leadership Services (for school
partners) or chief of appropriate division (for district partners) for review and recommendation of legal review before final approval and execution.
If denied, a school or district Henry Partners Leadership Team member will share the decision with the interested organization or individual.
If invited to resubmit with recommended modifications, a school or district Henry Partners Leadership Team member will re-engage interested organizations or individuals to gauge interest in recommended modifications. If interested, modification will be made and returned to Step 4 for re-review.
Step 6. Final Execution of Partnership
The appropriate Assistant Superintendent, Department Representative, or Principal and School-Based Henry Partners Leadership Team contacts the partner after final execution (signature of appropriate district/school official) to begin the partnership.
Step 7. Databasing of Partnership
Executed MOU will be shared with the District-Based Henry Partner Leadership Team via Henry Partner Binders available to district staff and School-Based Henry Partner Leadership Team members.
Step 8. Onboarding and Training
Approved partners are scheduled for Henry Partners Onboarding and Training and the completion of any permission forms are initiated (for partnerships that require teacher/parent letter of consent, ie. Mentoring). Henry Partner Coordinators will be responsible for the onboarding and training of school partners, while Henry Partners District-Based Leadership Team will host bi-monthly onboarding and training for district partners.
Step 9. Partnership Begins
Partnership begins per the terms identified in the executed MOU. Per MOU terms, contracts are not permitted to exceed one calendar year.
Step 10. Annual Review
At least 45 days prior to the close of the partnership, Henry County Schools or individual school and partner designated contact representatives meet to determine if the MOU will be renewed (MOU may only be renewed for one calendar year). Henry Partners District-Based Leadership Team will send out a reminder to schedule annual reviews to Henry Partner Coordinators in March of each SY.
